OC HMIS Part 2 Recertification

The 2023 HMIS Part 2 Recertification is now available.

Users with Read Only accounts or accounts created on or after June 1st are excluded from this requirement.

Once users have complete the training, please reach out to your HMIS Agency Administrators to submit the HMIS Part 2 Recertification Form on behalf of the users.

Users that do not complete the recertification by January 12th will have their accounts locked until the Recertification is completed.

Register Today: HMIS Data Analytics On-Demand Course: Cohort Ten – Starting October 16, 2023

Registration is now open for the tenth cohort of the HMIS Data Analytics On-Demand Course. The goal of this immersive course is to provide a conceptual and practical framework for ad hoc reporting utilizing Homeless Management Information System (HMIS) data. This self-paced course is open to anyone in your community who is interested in analyzing, interpreting, and communicating HMIS data. This is an introductory level course and might be a good fit for newer members of your HMIS team or someone looking to brush up on their data skills. Participants are not expected to have high-level technical or statistical skills; only basic knowledge of the following is needed:

  • HMIS data standards
  • How to pull an HMIS comma-separated value (CSV) file set, unless the participant has access to someone who can pull HMIS reports for them
  • How to enter data into Excel and navigate within it

The data analytics course will equip participants with the skills to create a data brief highlighting trends to engage communities to drive insights into action. A combination of content, hands-on skill-building, and recommended resources are provided to help a basic data user build skills and knowledge necessary to be an advanced data professional while providing opportunities for ongoing professional development and learning.

Participants will have eight weeks to complete six course modules at their own pace. Course participants will also receive a certificate upon completion of all six modules.

The tenth offering of the HMIS Data Analytics On-Demand Course will be held from October 16 – December 8, 2023.

Training Opportunity: LGBTQ+ Cultural Competency

The Office of Care Coordination, on behalf of the Orange County Continuum of Care (CoC), is hosting the upcoming training opportunity. The
LGBTQ Center OC is providing a training on cultural competency when working with the LGBTQ+ community.

The LGBTQ+ 101 training will provide necessary language to reaffirm the identities of lesbian, gay, bisexual, transgender, queer, and questioning (LGBTQ) people. Attendees will learn the complexity of sexual orientation, gender identity, gender expression, and pronounce use. This training provides tools organizations can utilize to make their work environment a safe space for staff and clients alike.

This virtual training requires registration.

Training Opportunity: Medi-Cal Renewals Webinar

The Office of Care Coordination would like to share a training opportunity on behalf of Homebase. Homebase has launched a Medi-Cal Renewals outreach campaign to help people experiencing homelessness in California retain their Medi-Cal coverage. By educating homeless systems of care, Homebase aims to slow down the loss of coverage for Medi-Cal members without a current mailing address.

Homebase will provide specific guidance on how homeless providers and health enrollment navigators can help clients navigate the renewals process. Additionally, Homebase will share online tools that outline these strategies, which meeting participants can utilize and share in their own communities. There will be ample time for meeting participants to ask questions and/or provide comments. This virtual training requires registration.

FY 2023 CoC Program Competition Deadline Reminder: September 28, 2023 – New Resources Available

The application submission deadline for the Fiscal Year (FY) 2023 Continuum of Care (CoC) Program Competition and Renewal or Replacement of Youth Homelessness Demonstration Program Grants (YHDP) is approaching. The FY 2023 CoC Consolidated Applications, that includes the CoC Application and CoC Priority Listing with all project applications either approved and ranked or rejected, are due Thursday, September 28, 2023 at 8:00 PM EDT.

Please allow ample time to complete your FY 2023 CoC Consolidated Application, and do not wait until the last minute to submit via e-snaps to HUD. HUD strongly recommends that Collaborative Applicants submit their applications at least 24 – 48 hours before the deadline.

Note: The CoC Application and the CoC Priority Listing are separate submissions in e-snaps; therefore, Collaborative Applicants must ensure that both the CoC Application and the CoC Priority Listing, that includes all project applications either approved and ranked or rejected, are submitted in e-snaps prior to the application submission deadline of September 28, 2023, by 8:00 PM EDT.

  2. Revised FY 2023 Grant Inventory Worksheets (GIWs)
    • Multiple CoCs required additional corrections after the revised GIWs were originally posted. This primarily impacted CoCs with YHDP projects renewing during the FY 2023 competition.
    • These revisions were marked with a September 1, 2023, revision date.
      • Please be advised: the GIW provides CoC stakeholders with an inventory of renewal grants and the total amount of funding each renewal grant may apply for. While the GIW is expected to be as close to accurate as possible, HUD understands that grant agreement amendments may continue to be fully executed up until the application submission deadline; therefore, renewal project applicants must ensure the BLI amounts in the renewal project application match the amounts listed in expiring grant agreement or grant agreement as amended – even if inaccuracies exist on the HUD Posted GIW.
  3. FY 2023 CoC Estimated Annual Renewal Demand (ARD) Reports – updated based on revised GIWS
    • One report for all Collaborative Applicants
    • One report for Collaborative Applicants with Unified Funding Agency (UFA) designation and includes the available UFA Costs amount
  4. Updated FY 2023 Geocode Report including Preliminary Pro Rata Need (PPRN) amounts
  5. Rural Area Geocode Report
    • New project applications applying to serve populations located in the geographic areas identified on the Rural Area Geocode Report may request funding under the new Rural Costs budget line item (BLI). See section III.B.4.a.(4) of the FY 2023 CoC Program Notice of Funding Opportunity (NOFO) for more information.

Data Quality Report Cards Q2 2023 Published!

The Q2 2023 HMIS Data Report Cards have been published! Review your agency’s data here!

These report cards look at the main components of Data Quality: Data Completeness, Data Accuracy, and Data Timeliness.

The first tab of the Report Cards assesses the Data Completeness and Data Accuracy of the Universal Data Elements for each project in our system, and for all our system as a whole. This tab includes:

  • The Percentage of enrollments that fall into the following data response categories: Valid Responses, Don’t know/Refused, Data not Collected, Missing Response, and Data Issues The Average Data Completeness Score by project: This is a unique indicator of data completeness for each project.
  • The Average Data Completeness Score by project: This is a unique indicator of data completeness for each project.

The second tab of the Report Cards assesses the Data Timeliness of each project of our system. This tab shows the percentage of enrollments that fall into the following length of time categories: 0-3 days, 4-7 days, 16-30 days, and more than 31 days.

The Report Cards can now be filtered by Agency Name. To view the results for a particular agency, navigate to the dropdown labeled “Agency” and make a selection. The report can also be filtered by Project Name.
