August 2016 Patch Notes

In the month of August, our HMIS vendor made some changes to HMIS to improve system or reporting functionality. Please see below for a list of the updates that apply to you.   • A fix has been released to update the PATH Annual and PATH Annual Detail 2014 management reports to fix:
    •  Q12 to correctly count clients with “Don’t Know” or “Client Refused” as values for the DOB code
    • Q10 “Total Number of times Service Provided” number issue for “Outreach” service category
    • to display the DOB Code value of “Data Not Collected” instead of showing blank
    • to add total count of Distinct ID in Sections 2,3,4,5, 9, 12 Data Information
    • to correct Q5 logic for counting persons enrolled
  • The Chronically Homeless calculation has been adjusted to include Adults Age 18 and above.
  • The Snapshot has been updated to correct an issue that was causing problems with dates.
  • The Exit Client from Program page has been modified to make the Reason for Leaving field required.
  • The Exit Client from Program page, Exit Program tab trigger has been updated so that Move In Date will copy to Residential Move-In-Date correctly.
  • The Snapshot has been corrected so that when members of a household are removed, they will not be removed from the earlier existing snapshots, and will not be included in future snapshots.

August 2016 Patch Notes

  • A weekly fix has been released to update the Sessions page and the performance of the auto schedule function so that it will not timeout during the scheduling process.
  • A weekly fix has been released to update the Client Master Record Report_CFCOC to exclude the CFCOC Bed Night services properly.
  • The Client Master Record_CFCOC report has been updated to exclude services from Emergency Shelters and Transitional Housing.
  • The Universal Data Element_Agency management report has been modified to:
    • Update the Agency parameter to be multiselect.
    • Update The Program parameter to be multi-select for the selected agencies
    • Remove the old default dates of 10/1/2008 and 9/30/2009
  • The CFCOC Services Provided Report and CFCOC Services Provided Details Report management reports have been updated to count the number of units attached to each Case Management Meeting service instead of the number of services provided.

July 2016 Patch Notes

  • The Client Master Record Report_CFCOC has been updated to correctly exclude CFCOC bed nights.
  • The Universal Data Elements_Agency report has been updated to correctly report the percentage for Approximate Date Started.
  • The Universal Data Elements_Agency and the Universal Data Elements_Agency_Details reports have been updated to rename “Time on the streets” to “Approximate Date Started” to match the field in HMIS and HUD’s guidance.
  • The OC_Bed_Utilization report has been updated to include inactive projects as long as there were active enrollments during the selected reporting period.

June 2016 Patch Notes

In the month of May, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • If “Client Doesn’t Know,” “Client Refused,” or “Data Not Collected” are selected for Name Data Quality Code, SSN Data Quality Code, or DOB Data Quality Code, then Name/SSN/DOB will not be required.
  • A fix has been made on the back end to records that have been merged and end up assigning two heads of household to the same household. You are now able to fix head of household designation on the Household Mgt. tab for these records.

May 2016 Patch Notes

In the month of April, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • A new management called Client Master Record Report_CFCOC has been created, based on the Client Master Record Report_OC. This report allows you to see non-bed night CFCOC services for a given client.
  • The Universal Data Elements and the Universal Data Element Detail management reports have been updated to get Family Type from the snapshot with the snapshot date closest to the report start date parameter.
  • The PIT Summary 2016 Report management report has been updated for Race, so that if the client selects multiple races, they will be counted only under ‘multiple races’; the client will be counted only once under race.
  • On the Program Entry page, the HMIS sub-tab has been modified to rename the ‘CoC Code’ field to ‘CoC Client Location’.
