DECEMBER 2016 PATCH NOTES

In the month of December, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org

  • The Save Answer button on the Program Entry page has been updated to correctly check for required questions.
  • The CFCOC Services Provided management report will now count the age of clients as explained below:
    • In the Unduplicated Clients field, age will be determined as of the first day the client is served during reporting period.
    • In the services section, age will be determined as of the date the service is provided.
  • The CFCOC Services Provided Details management report will now count the age of clients as of the first date the client is served during the reporting period.
  • The ESG CAPER 2014 and ESG CAPER Detail 2014 management reports have been updated to match the new Data Standards released October 1, 2016.
  • The Program Specific Data Elements_Entry_Results_v5 and the ProgramSpecificDataElement_Exit_Results_v5 management reports have been updated to add columns for Gender and HOH/Client. The HOH/Client column will display ‘True’ if client is HoH and/or Adult 18+, and it will display ‘False’ if client is neither HoH nor Adult 18+.
  • The Program Specific Data Element_Exit_Results_v5 and Program Specific Data Element_Exit_Summary_v5 have been updated with the recent changes to the HUD Data Standards.
  • The Sessions page have been updated to switch the positions of the CLEAR and SEARCH buttons to locate them directly next to the page’s search fields.
  • The Export Schedule v5 page has been updated to add a button labeled ‘Copy Schedule’. The button allows users to make a copy of a previous export job. The default date for the job will be the current date, and the parameter data will be copied.

NOVEMBER 2016 PATCH NOTES

  • The Data Export CSV 5.1 report has been released in accordance with the new export specifications released by HUD, and should be used by all RHY and SSVF funded projects to import into their repository.
  • The ESG CAPER Data Export 5.0 report has been released in accordance with the new HUD Data Standards v5, and should be used for all future ESG exports.
  • The Central Intake Client Listing page has been updated so that the Identifier field will search values in both the Identifier and ID fields.
  • The Program Entry questions have been updated to remove the “In permanent housing” question, and reword “If yes, move in date” to “Residential move-in date”. This is in accordance with the Data Standards released October 1st.

OCTOBER 2016 PATCH NOTES

  • HMIS has been updated with the changes to the Data Standards that came into effect on October 1st. To learn more about the changes click here.
  • The Program Entry page Snapshot Management tab has been updated so the Income Interval field correctly allows records to be saved when the Income Source is set as ‘No Financial Resources’.
  • For RHY, SSVF, and ESG funded projects: The Export Schedule v5 page has been updated to add a button labeled ‘Copy’, which allows users to make a copy of a previous export. The default date for the job will be the current date, and all other parameter data will be copied into the new export.
  • The APR 2013 management report has been updated so that ZIP will be counted as ‘Client Doesn’t Know’ when Address Data Quality is ‘Incomplete or estimated address reported’.
  • The APR 2013 and APR 2013 Details management reports have been updated to make the Contract parameter multi select.
  • New management reports: The APR 2013 v5 and APR 2013 v5 Details reports have been released, and are updated in accordance with the New HUD Data Standard released October 1st. These reports should be used instead of the previous APR 2013 reports.
  • The Program Specific Data Element_Entry_Results management report has been updated to add the Program User Add field; this will display the user who entered the client into the program.
  • The Exit Client from Program page has been updated so that when a client who has bed services is exited from a program, any bed night services that occur on or after the exit date will be deleted.This means that the bed night for the night of the exit will be deleted.
  • The Case Notes page has been updated so that the date of the case note cannot be earlier than the Program Entry date.

 

HMIS Q3 2016 Report Cards Posted!

HMIS Q3 2016 Report Cards have been published and are available here!  These report cards review data quality and data timeliness for each project, and include average data quality scores by project type!  Also, check out the newest report card, Entries Referred from the Coordinated Entry System!

September 2016 Patch Notes

  • The APR 2014 Details report has been updated so the Entry Income column on the details report will show ‘Data not Collected’ responses instead of ‘No Income’.
  • The Universal Data Elements_Details report has been updated to add Head of Household and ProgramUserAdd columns.
  • The Universal Data Elements_Agency report has been updated to correctly count the number of Head of Households on the report.
  • The APR 2014 and APR 2014 Details reports have been updated to use the snapshot with the last Snapshot Date before the Report End Date to determine the stayer’s income.

August 2016 Patch Notes

In the month of August, our HMIS vendor made some changes to HMIS to improve system or reporting functionality. Please see below for a list of the updates that apply to you.   • A fix has been released to update the PATH Annual and PATH Annual Detail 2014 management reports to fix:
    •  Q12 to correctly count clients with “Don’t Know” or “Client Refused” as values for the DOB code
    • Q10 “Total Number of times Service Provided” number issue for “Outreach” service category
    • to display the DOB Code value of “Data Not Collected” instead of showing blank
    • to add total count of Distinct ID in Sections 2,3,4,5, 9, 12 Data Information
    • to correct Q5 logic for counting persons enrolled
  • The Chronically Homeless calculation has been adjusted to include Adults Age 18 and above.
  • The Snapshot has been updated to correct an issue that was causing problems with dates.
  • The Exit Client from Program page has been modified to make the Reason for Leaving field required.
  • The Exit Client from Program page, Exit Program tab trigger has been updated so that Move In Date will copy to Residential Move-In-Date correctly.
  • The Snapshot has been corrected so that when members of a household are removed, they will not be removed from the earlier existing snapshots, and will not be included in future snapshots.
