HMIS Patch Updates for July

In the month of July, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • The Income tab on the Client Intake and Manage Snapshot pages has been updated to change the background color for the Non-Cash Benefits and Health Insurance sections to blue since these fields are required.
  • The Household Management tab on the Client Intake page now includes a left arrow as well as a right arrow. This will allow users to correct their mistakes if they move a client into the incorrect household.
  • The Locations tab on the Client Intake page has been updated to make the Zip Code field optional if Zip Data Quality is ‘Client Doesn’t Know’ or ‘Client Refused’.
  • Jump logic will now work correctly on the Program Entry page for all questions. This means that if a question does not apply to a client, the question will be skipped, and the next relevant question will be displayed.
  • The Universal Data Elements_Agency_Details, Program Specific Data Elements_Entry_Results and Program Specific Data Elements_Exit_Results management reports no longer contain merged cells so filters can be easily added to the reports in Excel.
  • The Data Timeliness Report, OC_Data Timeliness on Exit Date, and OC_Data Timeliness on Service Entry Date reports now include a parameter for Program Component as a multi-select dropdown.
  • The APR 2013 report will now count all clients correctly under question Q8.
  • The HUD40CSV export for SSVF has been modified to correctly export all exit destinations.

HMIS Patch Updates for June

  • The Household Management tab on the Client Intake page has been updated to rename the labels on the name search fields to HH First Name and HH Last Name.
  • The change password popup message on the Login screen will now read ‘Password has been reset, please set a new password’.
  • The Income tab on the Client Intake and Manage Snapshot pages has been updated so that the background color for the Non-Cash Benefits and Health Insurance sections will be blue since the data is required.
  • The Manage Snapshot page has been updated so that an error message will appear if a user tries to set the Snapshot Date to a date earlier than the Program Entry Date.
  • On the Manage Snapshot page, if a new head of household is selected, the popup window that appears for the old head of household will not include ‘Self’ and the other values will be listed alphabetically.

 

HMIS Patch Updates for May

In the month of May, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • If a client’s consent is set to System on the Client Intake page, the Identifier field will be automatically filled with the client’s ID number.
  • The Income tab on the Client Intake page has been updated to ensure the pay interval field is not required when the income source is ‘No Financial Resources’.
  • The Income tab on the Client Intake and Manage Snapshot pages has been updated so that if no income record exists, the income fields will be unavailable until the New button is clicked. Also, a Cancel button has been added when the New button is clicked to make it easier to remove records that users do not want to save.
  • The Manage Snapshot page has been updated to change the logic for the Head of Household button logic. If a user changes the head of Household on this page, the relation for the new Head of Household is changed to self, and the user is required to enter a new relation status for the former Head of Household. A warning message is also displayed to change the relation status for other household members.
  • The Income tab on the Manage Snapshot page has been modified so that if only one income record exists, it cannot be deleted. A warning will be displayed if a user tries to delete the only income record.
  • The Activity and Demographics Summary report has been modified to make the Program parameter dropdown a multi-select.
  • The Program Specific Data Elements_Entry Summary report has been modified to calculate the percentage of veterans with responses to the 4.41 data elements, rather than the percentage of all clients.
  • The Program Specific Data Element_Entry_Summary, Program Specific Data Element_Entry_Results, Program Specific Data Element_Exit_Summary, and Program Specific Data Element_Exit_Results reports have been updated to count a client as missing employment information (Data Standard 4.26) only if the client is the head of household, or if the client is 18 or over.
  • The Client Roster During Report Period report has been updated to display the Episodes field correctly.
  • The Universal Data Elements_Agency report has been updated to run correctly when the % option is selected for Family Type parameter.

HMIS Outage 5/4/15

Update: As of 11:40 am, HMIS is working again.

HMIS Patch Updates for April

In the month of April, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • The Client Intake page has been updated to change to tab order on the Demographics tab. The new order is Education Level, Insurance, and then Ethnicity.
  • The Client Intake page has been updated so when a client is moved into a new household, the client’s address will automatically update to the new household’s address.
  • If a client has refused consent and is enrolled in a project, the Consent Refused checkbox on the Client Intake page will be disabled for all users.
  • The Client Intake page has been updated so that if ‘Data not Collected’ is selected for DOB Code, the Date of Birth will not be required.
  • When the Head of Household is changed on the Client Intake page, users will now receive the warning message ‘You need to update the Relation to HOH for all household members.’
  • The Contact tab on the Manage Snapshot page has been updated to add the Previous Address button. This allows users to see all saved addresses for the client, and select the client’s current address.
  • The Last Service Date on the Agency Client Listing page has been updated to correctly display the last service date for all enrollments.
  • The Agency Client Listing page has been updated to include a column called ‘Photo’. If a client has a photo on the Documents page with the ID photo type, a ‘1’ will be displayed in the column.
  • The HMISApplication_OC and Program Exit application reports have been updated to include the data elements from the new Data Standards.
  • The Case Note NoGraph application report has been fixed to correctly list the staff member associated with the case note.
  • The Program Specific Data Element_Entry_Results, Program Specific Data Element_Entry_Summary, Program Specific Data Element_Exit_Results, and Program Specific Data Element_Exit_Summary reports have been updated to change the Program Type Code parameter to multi-select.
  • The Program Specific Data Element_Entry_Results and Program Specific Data Element_Entry_Summary reports will now correctly display program entry data for all enrollments.
  • The OC_Bed_Utilization report has been updated so that clients that exited on the report date will not be included on the report.
  • The Universal Data Elements_Agency report has been fixed so that the Count row will not include ‘Client Doesn’t Know’, ‘Client Refused’, ‘Data not Collected’, or missing responses for each data element.
  • The APR 2013 and APR 2013 Details reports have been updated to check AddressDataQuality, rather than ZipDataQuality.

Google Chrome No Longer Supports HMIS

Google has announced that Google Chrome will no longer support Silverlight, which is a plugin necessary for accessing HMIS. As of September 15, 2015, Silverlight will not work at all with Google Chrome. From the press release:

Chrome 42 released with Push Notifications; Will block Java, Silverlight

The search engine giant released the latest version of its Chrome web browser version 42. The latest version of Chrome will block Java and other NPAPI (Netscape Plugin Application Programming Interface) based extensions. Silverlight is a NPAPI extension.

Adsystech has a temporary work around that can be accessed by clicking here for temporary continued use of Google Chrome. This fix will no longer work after September 2015.
