HMIS Patch Updates for January

In the month of January, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • The ESG CAPER 2014 and ESG CAPER Details 2014 reports have been modified to correctly handle the child’s relation status, which is a new field in the 2014 Data Standards.
  • Q19b on the APR 2013 report has been modified so that the ‘Client Refused’ data is showing up on the Refused line instead of the Missing line.
  • The OC_Universal Data Elements Report by Program has been updated to correctly count ‘Client Doesn’t Know’ responses.
  • The OC_Universal Data Elements Report by Program Details report has been modified to correctly display data under the No Value and Client Doesn’t Know/Client Refused/Data not Collected columns.
  • The OC_Bed_Utilization report has been modified to add ‘Occupying Households’ and ‘Percent Unit Occupancy’ columns. The ‘Occupying Households’ column is the number of unduplicated households active in the project on the date of the report. ‘Percent Unit Occupancy’ is the ‘Occupying Households’ divided by ‘Family Units’ reported in percentage format.
  • The Universal Data Elements_Agency_Details report has been updated with the changes below.
    • The data element 3.17 Total Number of Months Homeless in Past Three Years will only be highlighted red if the field is blank and the Number of Times Homeless in the Past Three Years field is ‘4 or More’.
    • Data element 3.16 Client Location will only be red if no data has been entered.
    • The data element 3.9 Other Residence Prior will only be highlighted in red if the field is blank and Residence Prior is ‘Other’.
    • Data element 3.6 Other Gender will only be highlighted in red if the field is blank and Gender is ‘Other’.
    • Data element 3.12 Other Destination will only be highlighted in red if the field is blank and Destination is ‘Other’.
    • The data element 3.12 Destination will only be highlighted in red if the client has been exited, and the Destination field is blank.
    • Data element 3.12 Entry Date has been changed to 3.10 Project Entry Date to match the new Data Standards.
    • Data element 3.13 Exit Date has been changed to 3.11 Project Exit Date to match the new Data Standards.
    • Data element 3.14 PIN has been changed to 3.13 PIN to match the new Data Standards.
    • Data element 3.15 HIN has been changed to 3.14 HIN to match the new Data Standards.
    • The Zip Code and Housing Status data elements have been removed because they are no longer Universal Data Elements in the new Data Standards
    • Checkboxes have been added to the Agency, Program, and Program Type Code parameters so users can make multiple selections.
  • The Universal Data Elements_Agency report has been updated with the changes below.
    • The data element 3.17 Total Number of Months Homeless in Past Three Years has been updated to only count enrollments if the Number of Times Homeless in the Past Three Years field is ‘4 or More’.
    • Data element 3.9 Other Residence Prior has been updated to only count enrollments if the Residence Prior field is ‘Other’.
    • Data element 3.6 Other Gender has been updated to only count enrollments if the Gender field is ‘Other’.
    • The data element 3.12 Other Destination has been updated to only count enrollments if the Destination field is ‘Other’.

    • Data element 3.13 Exit Date has been changed to 3.11 Project Exit Date to match the new Data Standards.
    • Data element 3.14 PIN has been changed to 3.13 PIN to match the new Data Standards.
    • Data element 3.15 HIN has been changed to 3.14 HIN to match the new Data Standards.

HMIS Patch Updates for December

In the month of December, our HMIS vendor made some changes to HMIS to improve system functionality. Please see below for a list of the updates that apply to you. If you have any questions about these updates, or if you find any issues with these updates, please email HMIS-helpdesk@211oc.org.

  • The Identifier field has been added as a search parameter on the Household Management tab of the Client Intake_v5 page. If text is entered in the Identifier field, the search will be conducted using this field alone; the other fields will be ignored.
  • The Client Intake_v5 page has been modified to make the Identifier field white, instead of purple, because this field is not required.
  • The Name Data Quality field on the Client Intake_v5 page is now required, and the field has been shaded purple.
  • The character limit of the Prior Living Situation field on the Program Entry page has been increased to 150 character to prevent error messages from appearing.
  • The Income tab on the Manage Snapshot page has been modified to that if ‘Client Doesn’t Know’ is selected as the income source, Interval and Amount will not be required.
  • The Locations dropdown on the Services Provided page is now in alphabetical order.
  • The Sessions page has been modified to expand the character limit for an attached Case Note to 10,000 characters.
  • A new parameter was added to the Case Note (no graph) Report. This parameter is called HideLogo, and will hide the Adsystech logo when ‘True’ is selected.
  • The ESG CAPER Details 2014 report has been modified so children show up correctly on the report.
  • The OC_Univesal Data Elements by Program report has been updated to include the 2014 Data Standards.
  • The APR 2013 report has been modified to correctly run for extended contracts.
  • Question 18a on the APR 2013 report has been modified to correctly count Alcohol Abuse.
  • The Program Specific Data Elements Summary and Details reports for Entry and Exit data have been updated to that the program type code parameter dropdown is now populated correctly. Also, the reports have been modified to show the correct data at entry and exit.
